Job description

As Junior Project Administrator, you are responsible for administration and monitoring the contractual and financial aspects of the projects in your portfolio. You will work closely with the project teams and the financial controllers and report to the Hub manager.

Key responsibilities

Project contractual administration

- You will draft, prepare, coordinate signature and ensure proper filing of expert and project staff Service Agreements and addenda under the guidance and instructions of the Project Managers;

- You will draft, prepare, coordinate signature and ensure proper filing of Service Provider and Sub-contractors’ Service Agreements and addenda under the guidance and instructions of the Project Managers;

Financial project administration 

- You will prepare project budgets in collaboration with the Project Managers who holds the responsibility for the budget;

- You will create vendors and purchase orders based on signed service contracts and you will follow-up the approval procedures;

- You will submit and allocate project cost invoices based on signed service contracts and timesheets;

- If available/required, you will manage the projects local cash/bank accounts and post related local project costs by means of the internal accounting software (Winnpaccs));

- You will follow-up on payments;

- You will report any potential issues you identify to the Project Manager in a timely manner and propose effective solutions;

Project documents administration

- You will administrate project documentation and store required files on company server;

- You will support the project managers and financial controllers in the preparation of audit documentation; 

Compliance

- You will ensure Compliance requirements are met for all the projects in your portfolio, in close collaboration with the Project Managers and the Compliance Officer; 

- You will have close collaboration with Financial Controllers and Project Managers 

Desired competencies and experience

- You have a first experience in a finance administration role,

- You hold a degree in Finance and/or Accounting ,

- You have a genuine interest in B&S Europe’s mission and recognise yourself in our values: honesty, empathy, professionalism and dynamism;

- You are comfortable using new softwares and you have excellent knowledge of the MS Office suit, in particular Excel;

- You have excellent communication skills in English, both verbal and written;

- You are able to work in a team but also independently;

- You enjoy doing administrative tasks with sometimes tight deadlines;

- You pride yourself in delivering high quality work, that your colleagues can rely on;

- You enjoy following internal guidelines and procedures and you are able to make sure others follow the same guidelines and procedures;

- Above all, you are a true team player with a friendly, open personality and a sense of humour.

This position is based in Skopje. The successful candidate will be contracted by Business & Strategies for Integration.
