WindEurope, the European Wind Energy Association is the voice of the wind industry - actively promoting the utilisation of wind power on behalf of member organizations in Europe and worldwide. Our resources are focused on lobbying and policy activities as well as global and national events and responding to enquiries from our members windeurope.org.

WindEurope is seeking a Conference Programme Officer (interim) to support the Association in developing programme content for WindEurope large events and coordinate the delivery of that content; and to develop and project-manage smaller educational and business events. This is a maternity cover.

Job purpose

The Conference Programme Officer is responsible for producing high-quality, informative and user-friendly conference materials, and improving the interactivity of events. Through the events, the Conference Programme Team supports the Association's advocacy efforts towards EU institutions and national governments, as well as business intelligence and member-oriented activities, to help positioning wind energy as the backbone of an electrified and decarbonised energy system.

Duties and responsibilities

Pre-event: programme setup

  • Input into the planning of the programme setup for WindEurope events, manage the development of the programme including committee setup, abstracts review (if applicable), creation of sessions, invitations/notifications, preparation of sessions and online programme;
  • Manage session chairs, presenters, event partners in close collaboration with advocacy, business intelligence and membership colleagues;
  • Manage the setup and preparation of sessions, including writing, sending and following up invitations, and briefing confirmed speakers and moderators. Liaise with and brief senior management as required regarding content and speakers;
  • Draft and edit written communications (emails, guidelines…) and online tools (portals). Ensure clear communication and user-friendliness are a priority to for all conference related materials;
  • Provide informative content for website, newsletters, leaflets, printed programme and other relevant publications/materials;
  • Liaise with the Events Team to ensure conference logistics requirements are identified and delivered (e.g. Audiovisual and technical aspects, including definition of virtual event platform requirements, room requirements, hostesses, decoration, poster boards…);
  • Identify new technologies, solutions and session formats with a view to enhancing interactivity and ensuring outstanding participant experience on- and offline;
  • Act as a project coordinator for specific events as required.

During and post-event

  • Ensure an effective working relationship between speakers room, AV/IT and online platform technicians, hostesses and conference room supervisors via briefings and supervision;
  • Prepare and deliver briefings to chair/speakers of standard and plenary sessions, as required;
  • Contribute to preparation of post-event debriefs and reports.

Qualifications

Experience

  • 3-5 years relevant experience in conference programme development in the events sector is preferred;
  • Previous experience of the energy sector and/or membership-based organisation is an advantage;
  • Previous experience with audiovisual content development (video/TV) also an advantage.

Education

  • Degree in communication or marketing but work experience is a valuable alternative.

Language skills

  • Excellent written and spoken English;
  • All other languages an asset.
