Human Technopole is a new interdisciplinary research institute, created and supported by the Italian government, whose aim is to develop innovative strategies to promote human health and aging through a multidisciplinary and integrated approach, combining genomics, computational and structural biology and neuroscience, as well as data and decisions sciences.

The Human Technopole Foundation is looking for an International Desk Specialist (Welcome and Support).

The International Desk Specialist, reporting to the HR Advisory Manager in the HR Department, will be responsible for giving support to all national and international colleagues (and family members) coming from abroad throughout their entire transfer process and during their permanence in HT, to help them enjoy their new working and living experience at its best.

S(he) will have the following main responsibilities:

  • Act as HT internal first contact on immigration, relocation and related issues for foreign national and national colleagues coming from abroad throughout the entire hiring and onboarding process and during their permanence at HT, offering them relevant and proper advice, support and practical guidance to help them get set up locally, in the most time-efficient manner and allow them focus on their mission;
  • Liaise with external providers to ensure all immigration-related administrative formalities are completed and issued on time and all provisions included in HT dedicated policies are correctly implemented. Prepare and provide HT letters and declarations accordingly;
  • Create, update and manage documents to serve as reference guides to international colleagues;
  • Collect and analyse feedback systematically and assist with reviewing, planning and developing new processes and dedicated services, actively participating in their implementation and improvement, with a view to provide outstanding levels of support and employee experience;
  • Create, collect, update and manage data and documents to share with HR team members and/or other departments, to ensure compliance with internal and external deadlines and workflows. Maintain up-to-date archives and databases.

Job requirements

  • Minimum 3 years of experience in the role gained within the HR Department of a structured and truly international organisation. A previous experience in a research or academic organisation will be considered as a plus;
  • Fluency in Italian and English - HT is an international research institute. Fluency in any other additional foreign languages will be considered a plus;
  • Knowledge of the Italian administrative environment and procedures (immigration, tax, health, education system);
  • Ability to manage competing priorities in a fast-paced environment and to work independently;
  • Strong proactivity, self-motivation and ability to work in an evolving context by identifying innovative ways of working;
  • Attention and respect of deadlines and precision in details;
  • Strong interpersonal skills and ability to work in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity.
