For the position of Communications and Events Officer, we are looking for a young professional, with solid experience in graphic design, in providing overall communication support and in handling administrative tasks. The candidate will work on internal and external communication. CECIMO uses the following channels for external communication: website, social media platforms, different publications including the annual CECIMO magazine, audiovisual products, biannual newsletters, media articles and events.

With the support of the Public Affairs Team, the candidate will organise all CECIMO events and meetings, both internal and external. Additionally, the candidate will also take over the administrative tasks. She/he will be responsible for facilities management, finances, HR, and the daily overall administration of CECIMO office and its agenda.

Tasks to be performed:

Communications strategy:

Working closely with CECIMO Public Affairs Team to develop and implement a communications strategy.

Content creation:

  • Copywriting – write email invitations, press releases, speeches, website content, media quotes;
  • Preparing, producing and editing printed and online publications including brochures, factsheets, leaflets, PowerPoint presentations;
  • Developing social media visuals, infographics, and video content.

Events

  • Overall logistical support to ensure a smooth development, production and execution of the association events (i.e.  conferences, virtual events, press conferences) and follow-up communications;
  • Assisting the team with administrative support including interactions with speakers;
  • Managing the event webpages and information publication including programme updates;
  • Handling all communications (messages, materials, publicity, etc.) in support of the event.

Media Relations

  • Maintaining good relations with journalists;
  • Responding to journalists’ requests;
  • Monitoring media and press coverage and prepare relevant reporting and statistics.

Other communication support

  • Keeping the CECIMO website up-to-date and ensuring that content is relevant, accurate and compliant;
  • Maintaining and updating the CECIMO extranet;
  • Creating and maintaining contact databases (press, stakeholders, etc);
  • Ensuring that the corporate style (format, layout, etc) and communication process  are always coherent and respected by all staff;
  • Contributing to the creation of the CECIMO magazine and coordinate its publication and mailing;
  • Supporting colleagues in the dissemination activities of EU-funded projects (manage MailChimp accounts, help producing newsletters, design dissemination materials);
  • Responsible for the Communication Working Group: organising initiatives together with communication experts from our national member associations to promote our industry.

The candidate will also assist the team with some administrative tasks:

  • Administrative support: incoming calls, dispatching mail, mailing and storage of documents, updating memberships, official publications. Facility management: ordering office supplies, equipment, communicating with the suppliers.
  • Financial Support: prepare outgoing invoices, process incoming invoices and payments; help the external accountant.
  • HR Support: compensation and benefits administration: liaising with the social secretariat, ensure the compliance with Belgian staff regulations and legislation. Staff Wellbeing:

team building activities, suggest trainings/seminars/trade fairs to contribute to the staff personal development.

  • Personal assistance to the Director-General: facilitates communication with internal and external stakeholders, documents formatting and various other communication-related tasks.

Qualifications and experience:

  • At least 3 years of relevant work experience;
  • Master’s degree in communications, journalism, political science or other relevant degrees;
  • Excellent writing and oral communication skills in English (near-native level) and French or Dutch. Other languages are a plus;
  • Ability to translate complex technical issues into clear messages;
  • Strong writing, editing, proofreading and design layout skills are essential;
  • Excellent knowledge of Adobe Creative Suite (InDesign, Photoshop and Premiere Pro);
  • Excellent knowledge of a web content management system (CMS), preferably WordPress. Preferably knowledge of SEO. Good knowledge of Google Analytics;
  • Excellent knowledge of social media and experience in defining social media strategies;
  • Knowledge of Zoom or any other video and audio teleconferencing platform for running meetings and webinars;
  • Knowledge of the Belgian Administrations and general HR regulations is a strong plus;
  • Initiative to engage and tackle problems on your own and in a team as well as problem-solving skills;
  • Cooperative and pro-active spirit, multitasking skills, sense of initiative and autonomy, eye to detail, ability to prioritize;
  • Ready to contribute in a flexible and reliable way to a small but dynamic team;
  • Interest in the world of manufacturing technologies;
  • Experience or interest in European Policy and Public Affairs;
  • Previous experience in a trade association is a plus.
