Reception Experts 

The Reception Experts work under the coordination of the Greek authorities. The main tasks of each sub-profile are presented below. A full job description will be shared prior to taking up duties.  

1. Reception Officer (Location: Athens)

  • Contribute to the design of interventions, action plans and activities in the field of reception, including by planning and conseptualising targeted support projects, preparing and updating relevant project management documents, analyzing and identifying funding possibilities, etc;
  • Support RIS in the coordination and implementation of activities in different areas of reception;
  • Develop appropriate tools and ensure their implementation in order to facilitate the implementation, coordination, monitoring and evaluation of interventions, activities and projects;
  • Assist in the development of guidance, SOPs, national standards, methodologies and practical tools and provide input during their implementation;

 

2. Reception Officer - UAM(Location: Athens)

  • Contribute to the design of interventions, action plans and activities in the field of unaccompanied minors within the context of the National Strategy for the Protection of Unaccompanied Minors, including by planning and conseptualising targeted support projects, preparing and updating relevant project management documents, analyzing and identifying funding possibilities, etc;
  • Support SSPUAM in the coordination and implementation of activities in different areas of SSPUAM responsibility, such as UAM accommodation, relocation, referrals, etc;
  • Develop appropriate tools and ensure their implementation in order to facilitate coordination, monitoring and evaluation of interventions, activities and projects;
  • Perform research, analysis and mapping of legislation, standard operating procedures, guidelines and practices that are targeting or affecting unaccompanied minors;
  • Assist in the development of guidance, SOPs, national standards and methodologies, and provide input during their implementation;

 

3. Training Support Officer (Location: Athens)

  • Work as a member of the RIS training team in order to organise and deliver training activities;
  • Contribute to training needs analysis on the ground, in close consultation with the relevant persons in the field locations;
  • Discuss and design tailor-made trainings, based on the needs analysis conducted on the ground;
  • Coordinate necessary practical arrangements for the preparation and implementation of training activities;
  • Assess the delivery of implemented training programmes and propose necessary adjustments;

 

4. Reception Assistant (Location: Athens)

  • Provide general support and contribute to analysis and advice in the implementation of reception policies;
  • Support the RIS in the planning and implementation of targeted support projects;
  • Coordinate the contribution and input of internal and external actors in the implementation of reception projects;
  • Support the implementation of activities aiming at the exchange of information and best practices on reception systems;
  • Provide support in the development of practical tools and methods of internal cooperation and monitoring;

 

5. Reception Assistant – Monitoring   (Location: Athens, Thessaloniki)

  • Support RIS in the planning, organisation and implementation of monitoring visits in reception facilities;
  • Support RIS in the assessment of the reception conditions in reception facilities, based on the Reception Conditions Directive and EUAA reception standards and indicators;
  • Support RIS in the consolidation and analysis of findings, including the development of monitoring reports and factsheets, and recommendations on the implementation of reception standards and practices;
  • Support RIS in the development and/or revision of self-assessment methodologies, workflows, and tools;

 

6. Information Management Assistant (Location: Reception & Identification Centers on Islands - Lesvos, Chios, Samos, Leros, Kos)

  • Act as data focal point at field level and support RIS in collecting, filing, archiving, and categorizing data and information, and be responsible for the correct implementation of the IM exercise and data quality at site level;
  • Support RIS in building data management and information coordination capacity within the reception facility;
  • Support RIS in regular or/and ad hoc verification and mapping exercises, in particular in terms of population data, data validation and data cleaning;
  • Support RIS staff in capacity building activities and on-the-job training on topics and tools related to Information Management;
  • Support RIS in producing regular and ad hoc reports, including demographic reports, service mapping and capacity/occupancy of the reception facility;

 

7. Reception Assistant – Site Management (Reception Facilities in North Greece/Reception Facilities in South Greece)

  • Supports the local RIS Director in the management of the accommodation facility;
  • Support the coordination of the stakeholders working in the reception centre;
  • Support the liaison with local and national authorities (Hellenic Police, Greek Asylum Service, public hospitals, etc.) and other relevant stakeholders (NGOs, civil society, etc.);
  • Support on the welcoming of new residents (including the signature of the Site Regulation);
  • Support on keeping up to date of the registry of residents;
  • Support in the establishment of a referral pathways to services and coordinate transportation to/from essential services;
  • Support on notifying residents the invitation for an interview or the decisions on their application for international protection;
  • Support on the issuance of asylum seekers cards;
  • Identify needs for staff development and organize capacity building workshops, trainings, seminars in coordination with partners and external actors;

 

8. Reception Assistant – Communication/Information Provision(Reception Facilities in North Greece/Reception Facilities in South Greece)

  • Support RIS to undertake regular and appropriate needs assessment concerning information provision to residents, including identifying and building on existing activities;
  • Support RIS to develop and update strategic response plans in accordance with the needs assessment;
  • Support RIS in identifying representatives of residents, setting-up regular meetings and response mechanisms, involving also relevant stakeholders;
  • Support RIS in the preparation and implementation of information provision sessions through different methodologies on topics relevant for residents and for the Service at different stages of reception procedures, from first arrival to transfer;
  • Support in the preparation and implementation of ad hoc information campaigns.

 

9. Reception Assistant – Case Management 

(Location: Reception and Identification Centers on Islands (Lesvos, Chios, Samos, Leros, Kos)/Reception Facilities in North Greece/Reception Facilities in South Greece)

  • Support RIS in the implementation of a harmonised case management system for persons residing in the reception facilities, and ensure that all protection-relevant actions for each case are properly recorded in such system;
  • Support RIS in the rapid assessment of new arrivals in the intake phase, focusing on the identification of persons with special reception needs and their referral to specialised services;
  • Support RIS in the identification, referral and follow-up of vulnerable persons and persons with special reception needs during stay;
  • Support RIS in the monitoring of reception needs of residents in the reception facility, in particular of persons with vulnerabilities;
  • Support RIS in establishing coordination mechanisms and cooperation networks, involving all actors involved in activities related to vulnerability;
  • Support RIS in regular mapping of services in- site and off –site and in the development of effective referral pathways;

 

10. Logistics Assistant (Location: Athens/ Reception and Identification Centers - Fylakio, Lesvos, Chios, Samos, Leros, Kos)

  • Support RIS to maintain comprehensive overview of warehouse, supplies and ordered goods;
  • Ensure timely collection of needs in cooperation with all relevant departments;
  • Identify in due time the appropriate procedures for the provision of the required goods and ensure, in cooperation with the relevant departments, that such procedures are launched in a timely manner;
  • Liaise with relevant departments and internal and external stakeholders in order to plan and monitor the delivery of goods;
  • Provide support in maintaining an appropriate filing system for the organisation and overview of the warehouse;

 

11. Operations Assistant - UAM (Location: Athens)

  • Assist in the implementation of operations and activities, in the scope of the National Strategy for the Protection of Unaccompanied Minors;
  • Support in planning and organizing specific daily activities, as requested;
  • Provide operational and practical support in the implementation of specific daily activities, as requested;
  • Support in follow-up of specific daily activities, including compiling information and providing feedback to the supervisor, by drafting reports and statistics, etc;
  • Compile daily and weekly statistics and reports and provide inputs for briefing requests, state of play of the operations;

 

Skill-sets and Requirements

  • Sound demonstrated previous experience in relevant tasks will be an advantage;
  • Very good understanding of the Greek migration and reception context;
  • Fluency in Greek and in English (oral and written);
  • Computer literacy, including MS Office applications (Word, Excel), use of internet and web-based applications;
  • Very good intercultural/interdisciplinary communication skills;
  • Excellent organizational and analytical skills;
  • Ability to work in a multicultural environment and under pressure.

Education & Experience

  • For Reception Officers’ and Training Support Officer positions: University degree is required whilst a Post-graduate degree will be an advantage;
  • For Reception Assistants’ positions: University degree – preferred and advantageous;
