MGR Human Resources Ltd is a leading, licensed private employment agency and a member of MAP S.Platis Group. We are looking to hire a Administrative & Archiving/Library Assistant for the European Asylum Support Office to be based in Malta.

The position

The successful candidate will work on a secondment basis for the awarded contract for the Provision of Interim Services to the European Asylum Support Office (EASO). EASO is an EU Regulatory Agency headquartered in Malta whose mandate is to strengthen EU Member States’ practical cooperation on asylum, to support Member States whose asylum systems are under particular pressure and to enhance the implementation of the Common European Asylum System.

Responsibilities

The Admin & Archiving/Library Assistant will work within the ICT unit, closely with the Document Management Officer to ensure that the necessary administrative, archiving and library tasks for EASO are maintained to the highest possible standard to meet the EASO Staff needs.

The successful candidate will be expected, amongst other, to perform some or all of the following tasks:

Administrative:

  • Providing support in the administrative and financial activities
  • Organizing internal meetings including drafting of minutes, if needed
  • Performing any other duty required

Archiving:

  • Providing support in the organization and cataloguing of the paper archive in EASO’s HQ
  • Providing support in any other records management duty

Library:

  • Support in tracking library books which staff has checked out, including updating status of books in the electronic library management system, alerting staff if they need to return books.
  • Support in library/ interlibrary loan requests.
  • Assisting with purchasing library books/journals, resolving problems with orders, and cataloguing materials in library management system.
  • Assist library users with library resources and information requests when DMO is not present.

Requirements:

  • University degree/diploma  and/or professional/practical administrative experience
  • Computer skills and knowledge of relevant software packages is compulsory. Basic knowledge of library/archival systems and techniques would be an asset
  • 1 year of professional experience
  • Fluency in English.
  • Good command of MS Office (e.g. Outlook, Excel, Word, PowerPoint)
  • Strong organizational skills
  • Ability to quickly adapt to and learn new software/procedures (without extensive training)
  • Ability to do the same task for long periods of time
  • Accuracy and good attention to details
  • Cataloguing

Remuneration

The position falls in hierarchical Category II and the associated salary is €23,786.52 gross annually in twelve monthly installments.
