About the team/job

The Records and Information Management (RIM) Office is looking for a junior professional willing to develop their professional knowledge in the records management field within an international environment.

The RIM Office is a cross-organisational function operating under the Administrative Director/Chief Operating Officer. It was created in 2016, with the role to develop and oversee the implementation of a records and information management framework in line with the professional best practice and international standards, EMBL culture and users' needs.

Your role

As a Junior Records Administrator, you will play a support role in the implementation of the RIM plan by providing a full range of administrative and coordination services:

  • Work closely with the Human Resources on developing or updating guidelines for the HR files and support the HR Records Assistant if needed;
  • Assist in the implementation of records management policies and procedures: retention schedules and classification schemes;
  • Liaise with the network of Focal Points to develop or update classification schemes (training on methodology will be provided);
  • Train and brief EMBL staff in general on records management responsibilities and internal rules (training materials will be provided);
  • Liaise with the Design Team and contribute to the development of communication materials;
  • Organise meetings and liaise with stakeholders throughout the different projects;
  • Prepare hand-over documentation and assist the Records and Information Manager in any other tasks, as required.

You will be required to work independently and responsively to the different stakeholders inside the organisation.

You have

  • A degree (bachelor or master) in records and information management;
  • A first proven work experience in this area;
  • Knowledge of international best practices and standards in the field of RIM and familiarity with the life-cycle management of records;
  • Fluency in English;
  • Very good communication skills, both oral and written;
  • Knowledge of Microsoft Office Suite programs.

  • German would be an asset.
