About The Role

Positive Money has developed into an international organisation, having begun in the UK in 2010, before setting up offices in the EU in 2018, and the US in 2021. We see this role as pivotal to the growth of Positive Money Europe and as an exciting opportunity to oversee and optimise the organisation’s finances and operations, and develop systems to support its continued expansion. You will lead the smooth, efficient and effective running of the day-to-day operations (finance, HR, IT and governance) of our organisation and will report directly to our Executive Director and collaborate closely with our International Director of HR & Operations. This position offers the potential for the right candidate to evolve and grow within the organisation, gradually taking on broader responsibilities and contributing to strategic decision-making.

About You

This is an opportunity for a highly-organised and detail-oriented operations generalist, able to oversee and deliver on multiple projects simultaneously. We are seeking a dynamic problem solver for this role who is not only proficient in overseeing finances and operations but also eager to step up, embrace additional responsibilities, and contribute proactively across various functions as needed, fostering the growth and success of Positive Money Europe. Accountabilities

Strategy

  • Develop strategies to enhance operational efficiency, by streamlining processes and producing policies, implementing cost-saving measures and optimising resource utilisation
  • Develop long-term financial strategies to ensure financial sustainability, including sourcing and assessing funding sources, setting budgetary targets, and managing financial risk

Delivery 

  • Manage Positive Money Europe’s finances, including working closely with an external bookkeeper to process payments, categorise all income and expenditures, and approve expenses
  • Work with an external accountant to produce yearly accounts
  • Produce annual and programme budgets
  • Work with our Executive Director on funding applications and grant management, including producing project budgets, tracking expenditures and producing reports for funders
  • Produce quarterly financial reports for the board of directors
  • Collaborate with our International Director of HR & Operations to manage all HR-related matters, including updating and developing policies, managing payroll, and support with recruiting and onboarding
  • Ensure efficient daily office operations, including procurement, supplies, and a functional work environment for staff
  • Manage IT infrastructure, cybersecurity, and technical support, ensuring smooth functioning of hardware, software, and networking systems
  • Contribute to the organisation’s fundraising efforts by identifying new funding opportunities

People

  • Organise all staff travel and accommodation
  • Support senior staff members in organising events, staff trainings and team building days online and in-person
  • Act as secretariat for the board of directors and the senior staff team, including by organising meetings, ensuring that agendas and minutes are written up, and that documents are filed

External

  • Manage relationships with suppliers and contractors such as insurance companies, pension scheme providers, payroll managers and accountants

Person Specification

Skills & Experience

  • Strong track record of success managing operations
  • Strong understanding of nonprofit finance and compliance
  • Experience managing small to mid-sized budgets (e.g. € 20K - 1M)
  • Experience of working with accountants and payroll managers, ideally in Belgium
  • Basic HR knowledge, ideally within Belgian law
  • Basic knowledge of IT systems and willingness to become proficient in new IT systems
  • Excellent organisational skills, attention to detail, and ability to manage multiple priorities and deadlines simultaneously
  • Excellent English verbal and written communications skills
  • Working proficiency in French or Dutch

Terms & Conditions 

Contract: The role is for an indeterminate contract (Belgian “contrat à durée indéterminée”) with a 6-month evaluation period. 

Salary:​​ €43,000 gross annual salary (starting salary), (pro rata if working less than full time hours) + pension scheme of 4.5% of gross annual salary. Automatic indexation of gross salary to account for inflation.

  • 5 extra legal holidays on top of the 20 statutory holidays for the first year of employment

  • Transportation costs of €49/month
  • Work from home allowance of €60/month
  • Remote work from abroad up to 3 months per year

Location: Flexible between working in our Brussels office (Rue Ducale 67, 1000, Brussels) and working from home in Belgium.

Hours:​​ Part time (30.4 hours) or Full time (38 hours). Our full-time week can be worked across 4 days. We will consider flexible working requests.
