About the team/job

We are looking for a Human Resources Professional who is excited by the challenge of providing an excellent service in a stimulating international environment. The EMBL Human Resources unit is responsible for the Laboratory's staff of approx. 2 000 employees from over 80 nations working at its 6 sites across Europe.

Reporting to the HR Recruitment Team Lead, you will be part of the recruitment team responsible for the full recruitment process. The team provides high-quality services and works very closely with assigned EMBL units and hiring managers, managing approx. 300 hirings per year. The team delivers comprehensive recruitment and related HR advice and support in line with internal guidelines and procedures.

Your role

You will understand the strategic plans and activities of the assigned units, and provide appropriate advice to meet organisational and unit´s needs. Within HR, you will establish and maintain effective working relationships to fully meet the HR principles and proactively identify and implement improvements to EMBL´s e-recruitment / ATS system and related procedures to enhance service efficiency.

Main duties include:

  • Act as focal and liaison point for managers on all recruitment related matters;
  • Establish and maintain constructive working relationships with managers;
  • Provide policy guidance and interpretation to managers;
  • Manage and provide advice on the procedures related to recruitment within defined working areas:
    • Identify requirements, prepare and place vacancy advertisements;
    • Manage the selection process;
    • Pre-screen and interview candidates;
    • Negotiate employment offers for selected candidates;
    • Prepare contracts and related documents;
    • Support the integration of new staff.
  • Negotiating bulk deals with job boards and advertising agencies;
  • Working closely with recruitment agencies if applicable;
  • Participating in projects to further develop internal recruitment processes to ensure that recruitment strategies, procedures and techniques are effective and up-to-date;
  • Preparing reports and statistics;
  • Administering the e-recruitment/ATS system;
  • Representing EMBL at international recruiting events;
  • Training and supervising recruitment trainees;
  • Working closely with the Human Resources Partners in supporting dedicated organizational units and/or EMBL sites;
  • Contributing to the overall performance of the HR function by proposing solutions and participating in projects and by liaising with other functions in the administration as well as external service suppliers;
  • Performing standard operational recruitment related tasks;
  • Performing additional tasks as assigned by the supervisor.

You have

We are looking for a motivated Human Resources Professional who can demonstrate credibility and the ability to develop strong relationships. The successful candidate must have a university degree (Master or equivalent) with at least 10 years of working experience in HR, and out of those at least 5 years with a focus on recruitment, ideally at international level.

Key competencies and required skills are:

  • Excellent organizational skills, the ability to prioritise tasks and to stick to fixed time schedules;
  • Strong interpersonal and communication skills;
  • Confidence and ability to engage, communicate and build relationships at all levels within an organisation;
  • The ability to work in a team as well as independently;
  • Strong customer orientation to provide a quality service for staff at all levels in the organisation;
  • Very good analytical and evaluative skills;
  • The ability to conduct independent research;
  • Proven project management skills;
  • Ability to handle a variety of tasks under strict timelines;
  • Very good computer skills with proficiency in MS office applications, reporting tools, Internet;
  • Demonstrated experience of working with e-recruitment/ATS systems;
  • Excellent spoken and written English.

You might also have

A good working knowledge of German, French and/or Spanish or Italian will be an advantage.

Administrative positions are connected to but not dependent on scientific work and knowledge. Please note that appointments on fixed term contracts can be renewed for up to 9 years in total, depending on circumstances at the time of the review.
