We are looking for a Programme Assistant to support our Gender and Peacemaking team starting from 1 June 2021.

Terms of reference

Reporting to the Peace Practice and Innovation Director and Programme Manager, the Programme Assistant works in support of the Gender and Peacemaking team in its implementation and management of the Institute’s Gender and Peacemaking Strategy and GPM programmatic work.

Duties and responsibilities

The Programme Assistant will:

  • Provide day-to-day logistical and operational support to the Gender and Peacemaking (GPM) Team in its implementation of the Institute’s Gender and Peacemaking Strategy across the organisation;
  • Provide support to the development and adjustment of deliverables and priorities for the GPM Strategy, including the development of baseline and monitoring and evaluation indicators and implementation guides for staff;
  • Provide logistical and operational support to the GPM Team in its implementation of programme activities;
  • Support the GPM team in its engagements with other project teams on Women, Peace and Security (WPS) and gender-sensitive approaches to conflict resolution and project management as required;
  • Contribute to the GPM Programme’s internal and external communication, including on various media outlets by delivering written materials, including but not limited to briefing notes, presentations, blog posts, media statements, project updates etc.;
  • Provide day-to-day support on activities related to the development, implementation, and fundraising of the GPM projects;
  • Provide operational, administrative and logistical support for all phases of the project cycle, including monitoring and reporting on grant implementation;
  • Support Managers/Officers, where necessary, in analysing and tracking progress on milestones, deliverables, monitoring evaluation indicators, and communicating these through internal project management systems;
  • In collaboration with Programme Managers/Officers, maintain an up-to-date overview of contacts for each context where the Institute is active or where there are potential opportunities;
  • Provide logistical and administrative support to project team(s) and consultants to ensure smooth functioning of activities and implementation as well as compliance with internal procedures;
  • Conduct in-depth thematic and geographic research on areas of concern for the GPM programme, and in support of other teams as required;
  • Compile briefing materials and deliver meeting and programme reports;
  • Compile monthly news updates on general development within the fields of WPS and partly Youth, Peace and Security (YPS);
  • Where requested, compile talking points for Programme Managers and Directors for external events with the aim of enhancing awareness of the Institute’s GPM work;
  • Track context developments for the attention of the programme team identifying potential opportunities, risks, adjustments for the Institute;
  • Continue to develop thematic expertise and pursue professional development accordingly.

Profile

  • University degree in political science, conflict resolutions, international relations, anthropology, development studies or related field;
  • At least one year of experience with international affairs, Women, Peace and Security agenda, EU relations or other relevant fields;
  • Perfect command of English (verbal and written);
  • Experience working with and extensive knowledge on the Women, Peace and Security Agenda;
  • Experience working with and knowledge of the EU institutions is desirable;
  • Excellent writing and analytical skills;
  • Ability to work well under deadlines;
  • Strong logistical and administrative skills;
  • Ability to work independently and as part of a small team;
  • Ability to work in Belgium (Belgian or EU citizen or currently in possession of a Belgian work permit.)

Key working relationships

The Programme Assistant will be working closely together with the GPM Team and the Peace Practice and Innovation (PPI) Unit. The Programme Assistant will be working in support of Programme Officers, Programme Managers and Directors, while reporting to the PPI Director. 

The Institute offers

  • Salary based on 13.92 months;
