About the team/job

The finance team here at EMBL-EBI provide local financial support to the institute's scientific community and administrative teams. We work closely with the accounting teams based at our headquarters in Heidelberg and provide the bridge between central finance and local teams and budget holders. We also administer financial processes that are specific to running the site here at Hinxton.

Your role

To assist the Senior Finance manager with budgeting, forecasting and the generation of insight for management information reporting. To ensure that management information remains up to date this role will be expected to maintain financial organisational structure as the research moves forward within the Institutes financial system (SAP). Additionally, the role will be expected to support project work and solving problems proactively. The role will also provide cover for the Finance and Purchasing Administrator roles as required.

Budget and Forecast: This role will play an integral part in supporting the Senior Finance Manager to develop the setting of phased annual budgets; together with keeping track of and implementing any changes as required. The post-holder will be expected to prepare periodic reforecasts of income and expenditure in line with the financial calendar. Additionally the role will have regular interactions with budget holders and be expected to support the Senior Finance Manager in dealing with budgetary questions and issues as they arise through the provision of accurate financial information.

Reporting: This role will be responsible for analysing variances and preparing commentary and reports for Senior Management, such as the quarterly Budget v Actual reports. While presentation of the reports is not a primary part of the role, development opportunities can be found to develop these skills where required. Opportunities to expand and develop the current range of financial management information exist.

Financial system (SAP) hierarchy maintenance: A core element of this role will be to liaise with the SAP team to keep the cost centre hierarchy aligned with reporting requirements and to request opening and closure of cost centres. There will also be a requirement to keep any alternative mapping tables up to date and ensure the correct levels of access and authority are maintained.

Supporting projects: Continuous Improvement initiatives and troubleshooting issues. Finance is regularly impacted by the implementation of new processes and systems, and this role plays a part, both as a subject matter expert and an implementer of processes and systems, on matters that impact the finance, reporting and control environment. The role will liaise with teams from across the organisation to ensure practical solutions to problems are developed and implemented as the research, service and administration team's needs change.

Provide cover for the Finance and Purchasing Administrator: Periodically and at times of high activity, the Finance Analyst will provide cover to the Finance Administrator and Purchasing Administrator, with activities including bank and credit card reconciliation, monitoring and banking of petty cash, reclaiming of travel related expenses and processing of Purchase Orders.

Regular liaison with Heidelberg Administration teams: The role requires regular contact with the finance and SAP teams in Heidelberg. There will also be requirements to engage with EMBL EBI budget holders.

Team management responsibilities: This role does not have any line-management responsibilities.

Travel: Periodic travel to EMBL headquarters for induction and administration assemblies.

You have

  • Minimum of 3 years in a comparable role;
  • A relevant financial qualification or part qualified or qualified by experience;
  • Experience of using financial systems;
  • Good data and analytical skills;
  • Good communication skills and the ability and willingness to liaise with a broad range of diverse stakeholders;
  • A good eye for detail.
